Hiring Unit:
Student Recruitment & Admissions, Schulich School of Music

Position Summary:
Reporting to the Manager, Student Services, the Recruitment & Admissions Assistant (Music) supports undergraduate and graduate recruitment and admission activities for the School of Music. This position serves as a primary point of contact for prospective music students and their families, providing specialized guidance on programs, admissions, and auditions. The role combines student-facing advising, school representation, event coordination, CRM/data management, and digital engagement to support enrolment objectives and enhance the prospective student experience.

Key Responsibilities

  • Provide administrative support by answering inquiries, managing communications, and assisting with daily office operations. May include front reception coverage.
  • Respond to admission enquiries (phone, email, in-person) related to music research and performance programs.
  • Meet individually with prospective students and parents to provide tailored guidance on: Music programs and specializations, Admission requirements, application processes, and deadlines, Audition and portfolio expectations, Scholarships, ensembles, and student life.
  • Maintain thorough knowledge of music programs, faculty studios, and student services.
  • Conduct in-person and virtual tours showcasing music facilities (practice studios, rehearsal spaces, concert venues, etc.). Assist with scheduling student ambassadors for in-person tours.
  • Use CRM to: Record and track interactions with prospective students, Update applicant data and communication logs, Schedule tours, meetings, and auditions.
  • Pull data reports from CRM systems to monitor recruitment activity and inform decision-making.
  • Deliver engaging presentations for: Information sessions, student panels, student visits, tours, etc.
  • Represent the School of Music at recruitment events, open houses, and special visits.
  • Coordinate and organize recruitment events and activities such as open houses, and guidance counsellor visits.
  • Generate and analyze data reports on recruitment, applications, and auditions.
  • Support social media campaigns (e.g., Instagram) to promote music programs and student life. Assist with creation and editing of photo and video content, including promotional materials, ad, web site updates.
  • Participate in virtual recruitment initiatives and online engagement campaigns, as necessary.

Other Qualifying Skills and/or Abilities:

Undergraduate or Graduate student currently enrolled at the Schulich School of Music are welcome.

General knowledge of the Schulich's facilities and student life.

Strong written and oral communication skills.

Strong interpersonal skills - must be outgoing, willing to engage and initiate conversations with students and their families / able to adapt quickly to situations.

Extremely reliable and punctual.

Involvement in the McGill and Schulich community (clubs, services, athletics, or other university activities) an asset.

Customer service and social media experience an asset.

Ability to prioritize and multi-task; strong organizational skills, reliable, self-motivated with an ability to work autonomously and with others in a team.

Must be client-focused and service-oriented; strong desire to work in an entrepreneurial educational environment.

English (spoken and written), French (spoken and written) required. Additional languages an asset.
